At Tone & Flow, we want every client to have the best possible experience in our studio. Please take a moment to review our policies so classes run smoothly for everyone.


1. Schedule & Bookings

 

      • Our weekly schedule is released every Monday at 12:00 PM (noon).

         

      • Classes can be booked up to 2 weeks in advance through the WellnessLiving app or website.

         

      • Please arrive 10 minutes before class to get settled. Late arrivals may not be admitted once class has begun.

         

      A waitlist system is available. If a spot opens, you’ll be automatically added and notified.


2. Cancellations & No-Shows

 

    • We have an 8-hour cancellation policy.

    • Late cancel fee: $15 (applies if canceled less than 8 hours before class).

    • No-show fee: $25 (applies if you miss class without canceling).

    • Membership holders: Fees are charged to the card on file.

    • Class pack holders: One class credit will also be deducted for late cancels or no-shows.

    • Drop-in clients: Pass forfeited.


3. Memberships

 

    • Monthly memberships auto-renew every 30 days.

    • Your membership includes access to Reformer Pilates.

    • Founding and promotional rates are locked in as long as the membership remains active.

    • Memberships may be paused or canceled with written notice. Please contact us directly to arrange this.
      • Cancellation Notice Rule:

        • A minimum 30-day written notice is required.

        • The 30-day notice takes effect on your next renewal date, not the date you request the cancellation.

      If you submit notice late (not within the 30-day window), your membership will renew one additional month, your card will be charged, and you will have access for that final month before cancellation takes effect.


4. Class Packs & Intro Offers

 

    • Intro Offers are for first-time clients only.

    • 5+1 Pack: Valid for 3 months from first use.

    • 10+2 Pack: Valid for 6 months from first use.

    • Day Pass: Valid for 12 months from purchase.

    • Expired or unused classes cannot be refunded, but extensions may be considered under special circumstances.


5. Studio Etiquette

 

    • Grip socks are required for all classes (available for purchase at the studio).

    • Please silence phones and store belongings in designated areas.

    • Respect instructors and fellow members — Tone & Flow is a judgment-free zone.


6. Refunds & Credits

 

    • All sales are final.

    • Refunds are only issued in cases of billing errors or studio closures.

    • Class credits may be applied for future sessions at the studio’s discretion.


7. Private Sessions & Rentals

 

    • Private 1-on-1 and Semi-Private sessions are available by booking.

    • Private Group Rentals (birthdays, team events, etc.) include:

      • 50 minutes of class time

      • 40 minutes of social time

      • Personal decorations and catering are allowed.

      • Assistance is available for an extra fee.

8. Safety & Wellness

 

    • Please inform instructors of any injuries or health concerns before class.

    • For your safety, participation is at your own risk.

    • If you feel unwell, we kindly ask you to reschedule your session.
